Sports Clubs Assistant

The University of Sussex Students' Union are looking for a new Sport Clubs Assistant to join the team!

We are looking for someone who can offer a great customer service to students, has a logistical approach to working, can handle multiple tasks being thrown at them and has strong organisational & administrative skills. We welcome any experience candidates might have in working with volunteers or students and/or a passion for sport.

A day in the life of a Sport Clubs Assistant:

On a normal day you will come in and check emails as well as BUCS Play to see if there have been any requests for rescheduling fixtures, checking that pitches are available and the team doesn’t have another fixture on the BUCS Wednesday. Once the coming weeks fixtures are all checked you’ll go on to organising the transport for teams from booking train tickets to liaising with the bus company. After lunch you’ll get started on preparing virtual match day packs, booking match officials and chasing down any sports clubs who haven’t given you their results from the previous week. During the afternoon, expect to spend more time answering sport queries from club members and Team Captains that like to pop into the office for a chat or with questions. You’ll be responding to emails and phone calls as well. Before you go home for the day you do one last check Sports Rep funding applications for the next sports reps meeting that week.

Over the course of your time here you will also be involved in larger projects such as big student sporting events, and working with the elected officers on their manifesto to improve the offer of sports for students at university.

You’ll be working in the busy Union Hub in Falmer House and be the first point of contact for all society and student media enquiries, dealing with enquiries face-to-face, via phone and over email. You’ll help students run societies and media groups by assisting with and communicating with them about affiliation forms, risk assessments, handover documents and how-to guides. You’ll administer new society applications and set up newly approved societies, as well as encourage continual development by administering the Reward and Recognition Scheme, for student-led groups.

Job title: Sport Clubs Assistant

Responsible to: Activities Coordinator

Responsible for: Activities Administrators (1), Sports Reps (9), Sport Clubs members (volunteers) (300+)

Salary: £24,931 full-time equivalent, per annum, pro rata.

Hours of work: 36.5 hours per week including some evenings and weekends

Contract:  1 year fixed term contract with the extension to 2 years following successful appraisal

Location: Falmer House, University of Sussex, BN1 9QF. However we are supportive of hybrid working
